Mark every number as rough, quoted, or confirmed

The first trip budget changes as quotes arrive and headcounts settle. Put a status and update date beside every cost that families or administrators will see.

Keep quote sources and expiration dates in the chair notes. An old number can stay in the working plan as long as the packet does not present it as current.

Families and administrators need different summaries

Families usually need the purpose, dates, estimated cost, what the price includes, possible fundraising or scholarship offsets, and where official forms and payments go.

Administrators may need purpose, dates, budget range, transportation and lodging assumptions, approval status, and the staff member or office responsible for local procedures.

Say what is included and what is not

List meals, transportation, lodging, registration, equipment movement, shirts, and other major items included in the estimate. Give extra meals, baggage, spending money, or family-arranged costs their own note when they are outside it.

Travel approval, refunds, deposits, insurance, supervision, medications, dietary accommodations, and required forms are local policy questions. Link to the approved source instead of rewriting the rule in the worksheet.

Which packet is current?

Put an update date on the parent and admin copies. Mark old information as reference and send families to the school-approved channel for changes, final times, forms, and payment instructions.

Use bus labels, section groups, adult role labels, and counts in the planning sheet. Full names, medical details, emergency contacts, room assignments, addresses, and phone lists belong in approved private systems.
