Feed the band without losing track of the coolers
Headcounts, shopping list, donations, and serving shifts — this BandBoosterKit planner autosaves in your browser and prints a shopping-and-shifts packet, with CSV and backup exports too. It isn't food-safety or medical guidance, so use role labels or initials only and keep student names, allergy lists, and contact details out of it.

Assumptions
Check these before sharing

Do not store allergy, medical, dietary accommodation, emergency, address, or parent contact records in this worksheet.
Food-safety, allergy, school, district, venue, and volunteer approval rules stay with official sources and local procedures.
Blank numeric fields count as zero. Negative values are treated as zero and flagged for review.
Formula notes
How the worksheet math works
Headcount is students plus adults. Each menu row needs quantity-per-person times headcount, rounded up; donated quantities reduce what you buy. Estimated cost multiplies buy quantity by unit cost, and cost per person divides the total by headcount.
Needed quantity = ceiling(quantity per person x headcount); buy quantity subtracts donated amounts and never goes below zero.
Estimated cost = buy quantity x unit cost per row, summed for the shopping list total.
Donated value counts donated quantities (up to what is needed) at the row unit cost.
Serving shifts without an assignment label are counted as open.
Sources and local checks
Where these worksheet checks come from
These references help set the worksheet's boundaries. Your current school, district, booster, director, treasurer, venue, and event instructions still come first.
Local school, district, booster, travel, payment, safety, and music-program procedures : Official policy, payment records, and required forms stay outside BandBoosterKit.
Local food-safety, allergy, school, and venue rules : Meal and snack packets are planning aids, not food-safety or medical guidance.
FAQ
Common questions
What can I do with the Band Meal + Hospitality Planner?
Enter your numbers and notes, save in this browser, print the packet, export CSV, or download a backup file. Official records, payments, and approvals stay in the systems your group already uses.
Do I need an account?
No. There is no account to create and nothing to log into. Your work saves right in this browser when local saving is available.
What should I avoid entering?
Leave out full private rosters, student account balances, medical details, emergency contacts, room assignments, addresses, parent phone lists, payment records, card or bank data, tax IDs, credentials, and anything you would not put in a shared booster packet.
