BUDG / Fair-share worksheet

Band Fair Share Calculator

Put season costs and expected income on the same sheet, work out the fair-share amount, and print an explanation families can follow.

01
Your worksheet

Enter program totals or role labels, then print the family, director, treasurer, or board copy you need.

What does fair share cover?

Season costs may be in the budget spreadsheet while fundraiser estimates and parent wording sit in somebody's email. Add season costs, program support, and fundraising, then review the amount left per student and print the family explanation. This is not a fee policy or student ledger. Families who need help should be able to ask privately, and your director, treasurer, and school policy have the final say on fees, waivers, credits, and payment plans.

This explains the program estimate, not an individual student balance. Keep payments, credits, refunds, waivers, and family financial information in the treasurer-approved system, and ask the director or treasurer privately if fees are a problem.

Finish these season details before sharing the explanation
  • Add the season or budget name.
  • Add the band program name.
  • Add the role or initials that prepared this sheet.
  • The parent explanation needs at least one season expense.

What this assumes

What needs a local check?

  • Do not use BandBoosterKit as a student-account ledger or official payment record.
  • Keep student balances, payment records, refunds, waivers, family financial information, and enforcement decisions in approved local systems.
  • Fair-share rules, refund language, fundraising-credit treatment, and fee enforcement vary by school, district, booster, and state guidance.
  • Missing, malformed, or negative required numbers are flagged, and totals that depend on them stay pending.

The math

How the totals work

Season expenses sum the expense rows. Offsets sum school funds, fundraising, and sponsor rows. Net to families = expenses - offsets. Fair share per student divides net to families by the student count; the optional payment plan divides fair share by the installment count (capped at 12).
